BIM World MUNICH is the leading platform for innovative BIM solutions around the digital transformation of construction, real estate, and urban planning industries in German-speaking countries. Organised by Navispace AG, the two-day event for user-oriented solutions around building information modelling and new technologies for the construction, real estate, and urban planning industries took place on 27 and 28 November 2018 at the ICM, International Congress Center Munich, for the third time.

Building Information Modelling represents the digitalisation and process optimisations of the whole construction industry. During conferences, breakout sessions, and trade shows, the 4,116 attendees can extend their knowledge on BIM and digital models for innovation and performance in the construction industry, urban planning, and regional development.

Initial point

Navispace AG was looking for a comprehensive event management tool that offered different marketing solutions on the one hand and ensured an easy ticket sales process including badge creation on the other.

Solution

XING EventManager

Due to its simplified online registration interface, the XING EventManager ensures a straightforward ticket sales process. By using the integrated ticket shop on the XING event page, event page visitors were able to directly purchase their tickets. Among the five predetermined ticket categories were inexpensive Early Bird tickets with access to the trade shows and breakout sessions on both days as well as VIP tickets allowing access to the VIP area with VIP service.

Individual attendees received automatically generated promotion codes to redeem. Up until the event started, event visitors had the option to purchase exhibition tickets or congress + exhibition tickets at standard prices.

The design of the tickets and badges was completely customised to the corporate design of the BIM World MUNICH, just as the organisers desired. To simplify the ticket purchase process as much as possible for attendees, BIM World MUNICH integrated the ticket shop directly via iFrame into their own website. The ticket shop furthermore allowed for a smooth purchase process for the attendees by offering multiple payment options such as direct debit, credit card payments, PayPal, and instant transfer. Since BIM World MUNICH is an international event, the ticket shop was available in both German and English.

Promotion on XING

By using the Event Plus page and mailings, the organisers were able to increase their event’s visibility via event promotion on XING.

Mailings

To effectively promote their event, the BIM World MUNICH ran a personalised email campaign aimed at 88,000 recipients. For this campaign, the organisers used XING Events’ integrated email tool to be able to specifically target their desired attendees according to keywords, company name, and groups. The email additionally contained a link to BIM World MUNICH’s event page to redirect recipients directly to the page.

Event Plus

BIM World MUNICH used the Event Plus page to contact potential attendees personally. This enabled the organisers of BIM World MUNICH to view the event page visitors’ contact information and precisely track when and how often they visited the page. They could then send visitors of their event page a personalised and customised invitation to their event.

The tool also allowed BIM World MUNICH to post up to three event updates on the respective page visitor’s home page. To further reach out to potential event page visitors, the Event Plus page promoted BIM World MUNICH’s event on similar event pages. As the organisers opted for an Event Plus page, no other events were promoted on their event page.

And the Event Plus page offers even more benefits for the organiser. Thanks to up-to-date statistics showing the visibility and activities on their event page, BIM World MUNICH was able to customise their promotion strategy according to their needs. With the external link option, the organisers could add links to the BIM World MUNICH website and promote the site among XING members.

Result

In line with the conference’s theme of the digital transformation of construction, real estate, and urban planning industries, the event management process for BIM World Munich was done completely digital. By integrating the ticket shop into their own website, BIM World MUNICH’s organisers increased the event’s visibility, while the extensive email campaign showed an open rate of 18%. The marketing solutions that they used additionally generated a total of 200 new registrations to the event.
